How To Use It

Let's walk through how to turn your next "wall of text" into something that actually makes people say "Ooh!"

When you first open Napkin AI, you'll see two options: pasting your own text or generating text using AI. We'll focus on transforming your existing content into visuals. After all, you're the expert on your processes!

Step 1: Get Your Text Ready

First things first, gather the text you want to visualize. Maybe it's:

  • Your team's sprint process

  • The customer journey for your product

  • A compliance workflow

  • Your new feature's architecture

Jot down your process in plain text, just write it like you'd explain it to a colleague over coffee.

Example: Let's say you're explaining your company's employee onboarding process. Here's how you might write it:

New hire signs offer > HR sends welcome email > IT creates accounts > Manager assigns buddy > First day orientation > Team intro meeting > Training week > 30-day check-in

Step 2: Transform Text into Visual Now for the fun part:

  1. Head to napkin.ai

  2. Click "New Napkin" in the top navigation

  3. Select "Blank Napkin" from the options

  4. Give your visual a clear title (like "Employee Onboarding Process")

  5. Paste your text into the editor

  6. Look for the flashlight icon âš¡ on the left side of your screen and click it

Step 3: Make It Your Own

Your diagram is ready, but here's where you can really make it shine. Click any element to swap icons, resize elements, or pick different colors that pop.

Want to rearrange things? Just drag elements around. You can even give your entire diagram a makeover with different color schemes and fonts that match your brand's personality.

Pro tip: Less is more. Just because you can add 47 different icons doesn't mean you should. Keep it clean, keep it clear.

Step 4: Collaborate and Comment

Turn your solo project into a team effort with the collaboration features. Simply click the "Share" button at the top to invite teammates. They can work with you in real-time, and anyone can leave comments by hovering over any area and clicking the comment icon. Perfect for gathering feedback before that big presentation.

Step 5: Export your Work

The final touch is getting your work ready for prime time. Hit the export button on the top right, choose your format (PNG, SVG, or PDF), and voilà! Drop it into your presentation, doc, or email and enjoy not having to explain everything three times.
