How we use ChatGPT Company Knowledge to search across workplace apps

You know that feeling when someone asks "Where did we document that decision?" and you end up checking Slack, Google Drive, Notion, and three email threads before giving up? ChatGPT's new Company Knowledge feature solves this by turning your scattered workplace information into a single, searchable conversation. Today we're showing you how to set it up and use it to stop wasting time hunting for information.
The Problem
Your company's knowledge lives everywhere: internal message threads, Google Docs, your CRM, email. You switch between apps constantly just to piece together context for a single decision. New team members take months to figure out where things are, and even veterans waste hours searching instead of working.
How we do it with ChatGPT
Let's walk through setting up and using Company Knowledge to pull information from all your workplace apps in a single ChatGPT conversation. This feature is available on ChatGPT Business, Enterprise, and Edu plans.
Step 1: Set Up Connectors and Connect Your Accounts
For ChatGPT Business users: Connectors are enabled by default. Open ChatGPT, click "Company knowledge" below the message composer, then click "Connect" next to each app and sign in through OAuth.
For Enterprise/Edu users: Admins must first enable connectors in Workspace settings > Apps & Connectors. Choose the apps your team uses (Google Drive, Slack, SharePoint, GitHub, etc.) and optionally set access controls with RBAC. Non-admins: Ask IT to enable the connectors you need.
Once connectors are enabled, individual users click "Company knowledge" in ChatGPT and connect their accounts through OAuth. Takes 2-3 minutes total.

Step 2: Activate Company Knowledge for Your Query
Company Knowledge doesn't run automatically. For each conversation:
Click the "Company knowledge" button below the message box (it turns blue when active)
For existing chats, use the "+" tools menu to enable it

Step 3: Ask Comprehensive Questions
The real power comes from asking questions that would normally require checking multiple sources. Instead of remembering where information lives, just ask naturally.
As ChatGPT works on your question, you'll see it searching through your connected apps in real-time on the right sidebar. This transparency shows you exactly what it's looking at and how it's gathering information.

I have a client call with [Company Name] tomorrow. Can you create a briefing that includes:
- Recent messages about them from our Slack #accounts channel
- Key details from emails with their team in the last month
- Notes from our last call (should be in Google Docs)
- Any open support tickets from the past two weeks
Organize it by topic and highlight anything urgent I should address.Step 4: Follow the Citation Trail
ChatGPT's responses include citations showing exactly where information came from. The right sidebar displays:
Which sources were searched
Specific files or messages used
Snippets from each source
Direct links to the original content
Click any citation to verify information or dive deeper. This transparency helps you trust the answers and access full context when needed.

Step 5: Use Real-World Scenarios
Company Knowledge understands your work context immediately, helping with drafting plans, compiling reports, or catching up on projects. Here are some examples:
Turn customer insights into strategy:
Synthesize recent customer feedback from our #customer-insights Slack channel, survey results from the Q4 Google Slides deck, and recurring themes from Zendesk support tickets. Help me identify priorities for our roadmap planning.Create reports using the latest info:
Pull contacts and deals from our recent campaign in HubSpot, campaign briefs and post-mortem notes from Google Docs, and highlights from email threads. Generate a performance summary for the leadership team.Build release plans:
Scan our GitHub repo for open TODOs, check Linear for related tickets, and review our #engineering Slack channel for unresolved bug reports. Summarize what's outstanding, what's tracked, and what needs to be logged for our next release.

Important Limitations
Manual activation: Must enable for each conversation - it doesn't persist automatically.
Feature conflicts: Can't use web search or generate images while Company Knowledge is active. Turn it off to access these (you'll keep your conversation context).
Permission-based: You only see what you already have access to in each connected app.
Web-only: Currently unavailable on mobile or desktop apps.
